Automated Reporting with Looker Studio: One Source of Truth, Delivered by Email

· 5 min read · Tatitech

Most marketing teams do not lack data; they lack one version of it that everyone agrees on. Looker Studio, Google’s free reporting tool, can pull your marketing data into a single live report, filter it for each audience and email it on a schedule. Done properly, the monthly report stops being a task and becomes something that simply arrives.

What automated reporting actually means

Automated reporting is not just “a dashboard”. It has four parts working together:

  1. Connected data that refreshes on its own, with no exports.
  2. Fixed definitions, so a “lead” or “cost per enquiry” means the same thing every time.
  3. Views for each audience, so the board, sales and the marketing team see what matters to them.
  4. Scheduled delivery, so the report reaches people’s inboxes without anyone pressing a button.

Miss any one of these and someone ends up back in a spreadsheet. (We explain why that matters in the hidden risks of relying on Excel for digital analytics.)

Why Looker Studio works well for B2B reporting

  • Native Google connectors. GA4, Google Ads, Search Console, BigQuery and Google Sheets connect directly, without extra cost.
  • Other platforms are possible. Meta Ads, LinkedIn Ads and most CRMs can be brought in through partner connectors, a Google Sheet updated automatically, or BigQuery.
  • Live, shareable reports. People open a link, not an attachment, and access is managed with Google accounts.
  • Interactive filters. Viewers can change the date range, channel or campaign without editing the report.
  • Built-in scheduling. Reports can be emailed automatically on a timetable.

For organisations that need team-level ownership of assets and admin controls, there is also a paid tier, Looker Studio Pro; many businesses do not need it.

Building one source of truth

A good report starts long before the first chart.

Agree the definitions

Write a short metric dictionary that everyone signs off:

Metric Definition Source
Enquiries GA4 key events: form submitted + phone click GA4
Paid spend Cost across Google Ads and Meta Ads Ads platforms
Cost per enquiry Paid spend ÷ paid enquiries Calculated
Qualified leads Leads marked “qualified” in the CRM CRM
Organic clicks Clicks from Google Search Search Console

Then build these once as calculated fields in the data source, not inside individual charts. Every page reuses the same definition, so two charts can never disagree.

Fix the tracking first

A dashboard only repeats what tracking sends it. Before building, check that GA4 key events fire once, Google Ads conversions match, internal traffic is filtered and consent is configured correctly. This is usually where our Google Analytics and Tag Manager work begins.

Keep the structure simple

A structure that works for most B2B and high-ticket businesses:

  • Page 1 – Summary: 5–7 KPIs against the previous period and target.
  • Page 2 – Channels: paid, organic, referral, direct, email; enquiries and cost per enquiry for each.
  • Page 3 – Campaigns: Google Ads and Meta Ads performance down to campaign level.
  • Page 4 – Website: landing pages, engagement rate, key events by page.
  • Page 5 – Search: Search Console queries and pages.

Using filters for different audiences

One report can serve several audiences if you design the filters deliberately:

  • Date range control on every page, defaulting to “last month” or “month to date”.
  • Filter controls for channel, campaign, country or service line.
  • Page-level filters to create a fixed view — for example, a page showing only one product line or region for that team.
  • Report-level filters for exclusions that should apply everywhere, such as test campaigns.

The aim is that nobody needs their own copy of the report. Copies are how “one source of truth” becomes five.

Scheduled email delivery in Looker Studio

Looker Studio can email a report automatically. From the report, open the share menu and choose Schedule delivery, then set:

  1. Recipients — individuals or a group address.
  2. Start date and time — for monthly reports, a few days after month-end, when platform data has settled.
  3. Repeat — daily, weekly, monthly or a custom pattern.
  4. Pages — send only the pages relevant to that audience.

Recipients receive the report as a PDF with a link to the live version. A useful pattern is one schedule per audience: management gets the summary page monthly, the marketing team gets the channel and campaign pages weekly.

Tips for reliable automated reports

  • Use date ranges relative to today (“last month”), never fixed dates, or the scheduled report will repeat the same period.
  • Choose data credentials carefully. “Owner’s credentials” lets viewers see data without their own access to GA4; “viewer’s credentials” requires each viewer to have access.
  • Keep heavy pages light. Many charts on one page querying GA4 can hit API quotas and show errors. Split pages or use BigQuery for large data sets.
  • Add a short commentary box that someone updates monthly. Numbers say what happened; a sentence says why.
  • Make the report owned by a company account, not a personal one that disappears when someone leaves.

Checklist before you switch off the old report

  • Metric dictionary agreed and documented
  • Tracking checked (key events, conversions, consent, internal traffic)
  • Calculated fields built in the data source, not in charts
  • Date controls and filters on every page
  • Numbers reconciled with the platforms for at least one full month
  • Scheduled deliveries set up per audience
  • Ownership on a company account, with at least two editors

Key takeaways

  • Automated reporting means connected data, fixed definitions, audience-specific views and scheduled delivery.
  • Looker Studio connects natively to GA4, Google Ads, Search Console, BigQuery and Sheets; other platforms via connectors.
  • Build definitions once as calculated fields, so every chart agrees.
  • Use filters and page-level views instead of copies, and schedule email delivery per audience.
  • Reconcile with the source platforms before you retire the spreadsheet.
